Food Science Studies Coordinator

DonLevy Laboratories is an independent, commercial, food testing laboratory dedicated to food safety and committed to quality challenges throughout the supply chain. We perform microbiological and chemistry analyses on environmental, raw material, and finished product samples submitted by food companies industry wide.

In addition to routine microbiological testing, DonLevy Laboratories provides on-site microbiological assessments and sanitation audits, customized shelf life evaluations, individually designed challenge studies, and training for our clients.

General Function:
Direct the activities of the staff responsible for performing product stability storage studies and organism challenge studies.

Characteristic Duties and Responsibilities:
1. Represent DonLevy Laboratories through a professional demeanor
2. Dialogue with clients on study requirements
a. Type of product to be evaluated
b. Treatments that the products may have undergone (antimicrobial intervention, preservatives, HPP or other)
c. Product packaging
d. Challenge organisms to be evaluated
3. Provide guidance to clients on study test points and recommended analysis
4. Generate study proposals based on discussion with client
5. Calculate estimated cost for proposed study
6. Review study proposal with client and revise if necessary
7. Provide copies of issued proposals to Sample Administration supervisors, Accounts Receivable, Sales and Services Manager, Microbiology Laboratory Manager
8. Maintain a record of
a. study proposals issued
b. signed and returned Terms and Conditions
c. PO issued by client for study
d. studies that are scheduled and pending
e. studies that are initiated
f. studies that are completed
g. proposals that need to be invoiced
9. Manage the scheduling calendar for incoming storage and challenge studies
10. Maintain calendar of testing events for storage and challenge studies
11. Coordinate with Sales and Services Manager regarding study requests from clients while in the field
12. Coordinate with the Sample Administration supervisors on the arrival and importation of the samples into LIMS
13. Coordinate with the Microbiology supervisors on the arrival and storage of the samples
14. Coordinate with Media supervisor on quantities of media needed on specified dates for analysis
15. Ensure the proper storage and handling of study samples
16. Maintain a record of storage locations, storage conditions (including temperature and humidity as necessary) and disposal of completed study samples
17. Manage all storage and challenge study testing events
a. observe organoleptic evaluations of all study samples
b. supervise any photos taken of samples throughout study
c. maintain electronic files for photos taken
d. supervise aseptic preparation of all study samples
e. supervise performance of all study sample testing
f. review and alter testing dilutions for each testing event
g. supervise proper handling and disposal of sample testing material (especially challenge studies)
18. Manage inoculation and initiation of challenge studies
a. prepare and enumerate inoculation cultures
b. perform aseptic preparation of all challenge study samples
c. perform inoculation of all challenge study samples
d. perform packaging and storage of challenge study samples
19. Review study data and provide client with in process results
20. Generate final report for storage and challenge studies
21. Dialogue with clients on study results and provide recommendations as requested
22. Coordinate with Sample Administration Manager and Accounts Receivable on invoicing of completed storage and challenge studies
23. Manage personnel training as necessary
24. Coordinate with the Quality Manager in designing and performing internal method validation studies as necessary
25. Additional duties as assigned

Minimum Requirements:
Bachelor of Science degree in Microbiology, Biology, or Food Science and a minimum of five years of microbiology or research experience with study design and scientific reporting.

Knowledge, Skills, Abilities and Desirable Traits:
Broad range of computer knowledge and strong customer service skills. Detail oriented self-starter with excellent organizational ability and strong communication skills; ability to speak distinctly and be an active listener; apply strong deductive reasoning ability to problems; ability to plan well and prioritize tasks; maintain high degree of efficiency and accuracy; ability to transition seamlessly amongst tasks; detailed knowledge of scientific technical writing and graphical data presentation; detailed knowledge of culture preparation; detailed knowledge and experience in biohazard protocols and handling of pathogenic organisms; knowledge of cost analysis and preparation of quotations.

Working Conditions:
Physical effort usually requires continuous use of the computer; some lifting is required; some exposure to unpleasant elements, some exposure to pathogenic organisms.
